Fees and Fines

This fees and fines policy (the “Fees and Fines Policy”) provides an explanation of fees assessed by Wheel Estate.
Your use of Wheel Estate Services is at all times subject to the Terms of Service, which incorporates this Fees and Fines Policy. Any terms we use in this Fees and Fines Policy without defining them have the definitions given to them in the Terms of Service.
Wheel Estate Booking Fee
Individual Trailer Owners
Wheel Estate charges Trailer Owners a Service Fee of fifteen percent (15%) plus gst for each Confirmed Booking that Wheel Estate receives. This Service Fee covers the cost of payment processing, online and offline marketing and promotions, web hosting charges, listing and availability management, customer support and technical services to all Wheel Estate trailer owners.
Individual Guest’s
Wheel Estate charges Guests a Service Fee of ten percent (15%) plus gst for each confirmed reservation that Wheel Estate receives. This Service Fee covers the cost of payment processing, trust and safety, hosting charges, customer support and technical services to all guests.
Late Return Fees: Guests
Owners are counting on their Guests to return the Trailer at the Scheduled End Time of the Rental; failure to do so can result in significant inconvenience and stress for the Owner. Please be considerate and return the Trailer on time, and if there is any chance there will be a late return, contact the Owner immediately to request an extension. If an extension cannot be booked (whether because the Owner or Trailer are unavailable, there are insufficient funds, or otherwise) , the Guest must return the Trailer at the Scheduled End Time of the Rental.
To assess a late fee, the Owner should e-mail support@wheelestate.ca within 48 hours of the Scheduled End Time of the Rental, identifying the Guests name, Member ID, and the date and time the Trailer was returned. If the Guest disputes the timing, he or she should provide evidence indicating when the Trailer was actually returned. Owners must also be reasonable in accounting for time in between rentals and must leave enough time to complete a post trip checklist, clean the trailer if necessary, ensure propane is refilled, and tanks are dumped. Wheel Estate has the final say in all diputes in enforcing late penalties to guests.
Late fees charged to the Guest are described on our Fees and Fines page, and begin to accrue the minute that the Trailer is late, unless Extenuating Circumstances exist, pursuant to the Cancellation Policy. The Guest is billed at the greater of: $50.00 per hour and three times (3x) the daily Rental rate. In the event of very substantial lateness, additional Fees and Fines may be assessed.
Cleaning Fees
When returning the Travel Trailer, Guests must clean out personal items, remove any garbage and wipe down the interior of the Travel Trailer, including but not limited to the freezer/fridge, stove and microwave. Guests should sweep floors and ensure fresh water, holding/waste water tanks are emptied. The Trailer Owner shall go over housekeeping items at the Pre-Rental inspection, as defined in the Guest Policy.
If the Trailer is return in the same condition the Guest received it, including the exterior, there will be no Cleaning Fees charged to the Guest. If the Trailer is not returned as per the Owners’ instructions, the Guest may incur a Cleaning Fee up to $250.00.
If the Guest has pre-paid for a Cleaning Fee in the Total Fees of the Rental, in which the Owner is to clean the Trailer upon return, then no additional Cleaning Fees will be incurred.
The Cleaning Fee can be found on our Fees and Fines Policy page and will cover normal cleaning costs but there may be additional charges for excessively dirty returns plus an Inconvenience Fee.
No-Show Fees
Owner
If the Trailer Owner does not show up to meet their Guest and make the Trailer available for the Guest at the Scheduled Start Time of the Rental, Wheel Estate will treat this as an Owner Cancellation. Trailer Owners will be subject to fines and as outlined in the Guest Refund Policy and an automated review left on the Owners Public Profile page, unless the Owner can submit proof of Extenuating Circumstances as defined in the Cancellation Policy.
We reserve the right to penalize Owners that cancel Rentals or do not meet minimum quality standards with, but not limited to the following penalties: (see Guest Refund Policy)
- Black out the dates of canceled Rentals;
- Apply fees and costs as listed in the Guest Refund Policy;
- Lower the ranking of the Trailer listing in search results;
- An automated review on the Owners’ Public Profile listing page that the Owner canceled a Rental or did not show up; or
- Suspend or deactivate the Owner’s Account at the discretion of Wheel Estate.
Guest
If a Guest does not show up for the Rental on agreed upon time and location, the Guest will be charged for the Total Fees of the entire Rental period. This will be treated as a Guest Cancellation, unless the Guest can show proof ofExtenuating Circumstances as defined in the Cancellation Policy.
Propane and Generator Fuel Fee
Guests shall ensure they understand their responsibilities regarding propane and generator fuel options before the Scheduled Start Time of the Rental. The Owner shall set a refueling policy prior to the Rental, and can choose to include or not include fuel as part of the Total Fees of the Rental (the “Refueling Policy”). The Guest and Owner can agree to one of the two refueling options:
- The owner includes propane and generator fuel with the Rental. If the Owner elects to supply the fuel under the Refueling Policy, it is the responsibility of the Owner to fill propane tank(s) and generator fuel prior to the Scheduled Start Time of the Rental.
- The Guest refuels the propane tank(s) and generator fuel prior to the Scheduled Start Time of the Rental and prior to the end of the Rental. If the tank(s) and/or generator fuel are not refueled upon return, the Owner will email the receipt of the costs incurred to refuel within 48hours after the Scheduled End Time of the Rental period to support@wheelestate.ca. The amount will be then taken out of the Guest’s Security Deposit plus a $25.00 Administrative Fee.
Trailer Damage/Lost Item Fees
A $50 fine will be incurred for the use of fire extinguisher(s) (except in the case of a legitimate emergency). In the case of any minor damage to Travel Trailer, such as cushions, electronics, etc., the Guest will be charged the actual cost of parts plus any hourly labor costs needed to repair the damaged item. The Guest will be charged for any lost or damaged items, which will be valued at the discretion of Wheel Estate, our Insurance Providers, as set out in the Trailer Protection Policy.
Security Deposits
A security deposit will be placed on the Guest’s credit card 48 hrs before the start of the reservation to cover any incidental damage or lost items (the “Security Deposit”). The Security Deposit on the guest’s credit card will be released 48 hours after the Scheduled End Time of the Rental if no Claim has been filed by the Owner. In the case a Claim is filed by the Owner, the Security Deposit will remain charged until the Claim is resolved.
Governing Law and Forum for Disputes
This Fees and Fines Policy shall be construed, interpreted and enforced in accordance with, and shall be governed by, the laws of the Province of Alberta.
Any matters relating to Insurance pursuant to the Trailer Protection Policy shall be construed, interpreted and enforced in accordance with, and shall be governed by the laws of the Province of Alberta.
All disputes arising out of this Fees and Fines Policy shall be referred to binding arbitration in the Province of Alberta as outlined in the “Dispute Resolution” section of the Terms of Service, except where such disputes relate to Insurance pursuant to the Trailer Protection Policy, in which case the jurisdiction will revert to the courts of the Province of Alberta, and where the claim relates to the actual or threatened infringement, misappropriation or violation of a party’s copyrights, trademarks, trade secrets, patents, or other intellectual property rights, in which case the jurisdiction of the courts of the Province of Alberta shall prevail.
